Privacy Policy

FormBae handles coaching, workouts, progress tracking, and messaging data. This page explains what we collect, how we use it, and where that information flows inside the platform.

What We Collect

  • Basic account details such as your name, mobile number, role, and assigned trainer.
  • Workout data including plans, progress logs, body measurements, and activity completed inside the app.
  • Support and coaching data such as access requests, trainer notes, and SMS delivery records.
  • Website analytics and performance data to understand how the platform is used and improve reliability.
  • Exercise-video information from YouTube API Services, including video IDs, URLs, titles, channel names, thumbnails, search queries, fetch times, and quality scores used to match videos to workouts.

How We Use It

  • To let trainers assign plans, manage trainees, and deliver coaching through the platform.
  • To show your current workouts, progress history, and profile settings across devices.
  • To send workout reminders and operational SMS messages when that feature is enabled.
  • To find, display, replace, and troubleshoot workout videos that are relevant to assigned exercises.
  • To monitor usage, fix issues, improve product performance, and audit video matching reliability.

YouTube API Services

  • FormBae uses YouTube API Services to search for exercise videos and stores limited YouTube API Data needed to display and reuse matching workout videos.
  • YouTube API Data may include the video ID, video URL, title, channel name, thumbnail URL, search query, fetch timestamp, and operational events such as quota or replacement activity.
  • We process this data to match videos to workout exercises, embed the selected video in the trainee workout view, let admins repair mismatches, and reduce repeat YouTube API calls by reusing stored matches.
  • Internally, YouTube API Data may be accessed by FormBae admins and the assigned trainer when it is needed to manage exercise videos, troubleshoot workout delivery, audit quota usage, or respond to a support request.
  • Externally, YouTube API Data may be processed by Google/YouTube, our hosting provider, analytics provider, database provider, and operational vendors only as needed to provide, secure, monitor, or troubleshoot FormBae. We do not share YouTube API Data with advertisers or data brokers.
  • Embedded YouTube videos may be served by YouTube and are subject to YouTube's own playback, privacy, cookie, and device-storage practices.
  • Google's Privacy Policy also applies to YouTube API Services and is available at http://www.google.com/policies/privacy.

Who Can Access Your Data

  • Super admins and ADMINs can manage platform operations and account access.
  • Your assigned trainer can view and manage the information needed to coach you.
  • Service providers such as hosting, analytics, messaging, database, and YouTube/Google API platforms may process limited data needed to run the product.
  • We do not sell personal information or YouTube API Data.

Data Retention

  • We keep account and workout data for as long as the account remains active or operationally necessary.
  • Administrative logs may be retained longer for auditing, troubleshooting, and product safety.
  • Temporary YouTube search-result cache entries expire after approximately 6 hours. Stored video matches can be updated whenever a trainer/admin replaces a video or when automated repair tools refresh a missing or mismatched workout video.
  • YouTube API Data tied to exercise-video matches is deleted or overwritten when the related exercise, workout row, account data, or video match is deleted, merged, replaced, or no longer operationally needed.
  • If YouTube API Data or account data needs to be updated or removed, contact the FormBae team through the platform admin contact channel.

YouTube API Compliance Notes

  • FormBae currently uses one Google Cloud project for the FormBae YouTube API client: project number 28735827925.
  • FormBae does not use YouTube API Data to build user profiles for advertising, sell user information, or infer sensitive personal information.
  • Workout videos are embedded with YouTube's standard player controls and include a direct Watch on YouTube link so users can open the video on the YouTube platform.

Messaging and SMS

  • If SMS reminders are enabled, message activity and delivery outcomes may be logged to support reliability and troubleshooting.
  • SMS delivery is also subject to carrier filtering, Twilio account state, billing state, and sender eligibility rules.

Cookies and Device Storage

  • FormBae uses a session cookie to keep approved users logged in.
  • Analytics, performance, embedded YouTube playback, and PWA features may store or access cookies, local storage, cache storage, or similar technologies on your browser or device.
  • You can control cookies and local storage through your browser settings, but disabling them may affect login, video playback, analytics measurement, or app reliability.

Your Choices

  • You can update core profile details inside the app.
  • You can disable SMS reminders from your profile or onboarding preferences when available.
  • You can ask for corrections, deletion, or access to account information through your trainer, platform admin, or the contact details below.
